How I Saved 15 Hours/Week Using AI Automation (Real Story)

On paper that's 22 hours. In reality it's closer to 15, because maintaining automations costs time too. Anyone quoting you the paper number is selling something.

What I automated, in order

  1. 1Email triage: labels and draft replies for the five message types I get constantly.
  2. 2Onboarding: form submission creates a folder, a contract draft, and a kickoff invite.
  3. 3Meeting notes: transcription plus a summary posted straight into the project doc.
  4. 4Invoice reminders: a scheduled scenario that nudges at day 7, 14, and 21.
  5. 5Research digests: a weekly summary of the sources I follow.

The mistakes

Mistake one: I let AI send emails on its own. For about six days. A client got a friendly reply confirming a deadline that didn't exist. Now everything sits in drafts and I press send.

Mistake two: no error alerts. My invoice scenario silently failed and I didn't notice for two weeks. Two weeks of not chasing money. Set up failure notifications on day one.

Mistake three: I automated a process that was bad to begin with. Fast garbage is still garbage. Fix the workflow on paper first.

The ROI, honestly
